We are looking for a proactive Administrative Assistant & Office Lead who takes ownership of their desk and the office environment. At The Grounds Guys of Rapid City, this role is the "nerve center" that connects our Sales and Production teams.

We don't want someone who waits to be told what to do. We want a professional who provides a steady flow of communication and anticipates the needs of the business before a problem arises. Key Responsibilities & High Payoff Activities

  • Responsive Communication: You are the face of our brand. You will manage our "Same-Day Promise," ensuring all daily lead entries and client callbacks are completed professionally before the office closes.
  • Financial Ownership (AR/AP): You won't just "make calls"; you will manage relationships. This includes proactively managing Accounts Receivable and working with our bookkeeper to ensure timely billing and vendor payments.
  • Payroll & Data Integrity: Assist in preparing payroll with absolute accuracy and discretion. You will handle sensitive company and client information with the utmost confidentiality.
  • The "Steady Flow": You are responsible for keeping the Owner and Management informed. We value a "Direct-to-Source" communicator who brings solutions and data to the table without needing to be prompted or reminded.
  • Office Stewardship: You take pride in the details—from ensuring office supplies are stocked to making sure the office is organized and professional at the end of the day.

Job Requirements

  • Reliability: A consistent in-office schedule. This role is 100% in-person to ensure seamless support for our field teams.
  • Experience: 2-4 year degree preferred, or 6+ years of high-level Admin experience.
  • Tech Skills: Proficiency in Word, Excel, and Outlook is required. You must be comfortable navigating OneDrive and digital scheduling environments.
  • Communication: Exceptional written and verbal skills. You must be able to communicate roadblocks before deadlines are missed.
